Shift Board

The Shift Board displays shifts that have not been accepted ("New Shifts"), upcoming open shifts, and upcoming accepted shifts.

  1. Shows all shifts that have been assigned to the currently logged in user. They can either accept or decline the shift. Managers can run reports to see which employees have accepted and declined shifts in real-time.
  2. This table shows all upcoming shifts the user is qualified and available to work.
  3. All upcoming shifts are listed here.

Employee Schedules / Shift Trading

Employee schedules are viewed by employees immediately after logging into eSchedule. An employee can trade shifts by clicking the Trade Shift link under the upcoming shift.

  1. Shift details including the schedule, position, and start and end times.
  2. Selecting "My schedule" will show shifts for the currently logged in user, selecting "Westhills" would show all shifts on the "Westhills" schedule.
  3. Click here to trade shift.
  4. Click here to email the active schedule.

Employee Profile

The employee profile lets the employee maintain his or her contact information. Always be sure the most up-to-date information is available.

  1. Employees can be 100% responsible for entering and maintaining their contact and mailing information.
  2. Click here to edit this information.

Employee Vacation Requests

Employees can quickly and easily submit a request for vacation.

  1. Click the input box to display the calendar. Select a date range for your request.
  2. Enter some comments to your manager.
  3. Click the button to submit the vacation request.
  4. Details of an existing vacation request.
  5. Status of the existing vacation request.
  6. Click the cancel button to cancel the vacation request.

Employee Availability

Employees can maintain weekly availability details such as not being available to work on Sundays.

  1. Availability is on a weekly recurring basis. If you are looking to book a one-time vacation, click this link to book a vacation.
  2. Ron has marked himself as available Sunday through to Friday.
  3. Click any of the Edit links to edit that days availability.
  4. Ron has marked himself as not available on Saturdays.

Employee Scheduling

A manager can easily view and manage all of their schedules in one central location.

  1. Click "Schedule List" to go back to the list of schedules.
  2. Clicking "Weekly" will give you a weekly view of the schedule.
  3. The 2 month schedule indicates with color the daily statuses. The legend outlines the different color meanings.
  4. These are the currently scheduled employees for these shifts.
  5. A few shifts at different times. You can drag and drop the shift to change the times, or hold the CTRL key will dragging to adjust the shift length.
  6. Clicking the "Print" button will launch the Printing tools.
  7. Clicking Advanced will give you access to the Advanced Scheduling options.
  8. The "Add Shift to Schedule" widget is a simple and quick way to add single shifts to the current days schedule.

Advanced Employee Scheduling

  1. The Advanced Scheduling Options gives you some very powerful tools.
  2. You can copy, update and delete and export schedules with ease. Even generate schedules based on templates.

Employee Management

Managers can view all employees, or filter them by position. It's easy to add a new employee by clicking the "Add New Employee" link from the left menu.

  1. Click the "Add New Employee" link to add a new employee.
  2. The Employee List can be filtered by selected a position from the list and clicking the "Show Employees" button.
  3. An employee record.
  4. Clicking the "View Details" will take you to an employee management screen which displays store assignments, vacation details, and individual availability.

Employee Management

Managers can view specific employee details. Time-off details are easily viewed, along with store assignments and weekly availability.

  1. Click the "Edit Details" to edit this employees details.
  2. An employee account can be "disabled" by clicking the "Terminate" button. They will still appear in schedules and reports, but will no longer be able to login into the system.
  3. A yearly look at used sick days, total allocated vacation, and total approved vacation.
  4. An employee can be assigned to more than one store, as outlined here.
  5. Additional store assignments can be made by selected the store/position/skill level combination you desire.
  6. Employee weekly availability can be updated and viewed from this screen.

Employee Vacation Management

A manager can approve, deny and/or revoke vacations from this page.

  1. To request time-off, click this button.
  2. A list of upcoming pending vacation requests.
  3. Click approve or deny to process the vacation request. The employee will be notified of your decision, and if approved, the system will not allow shifts to be assigned to during this time.
  4. A list of upcoming approved vacations.
  5. Approved vacation can be revoked if required by clicking the "Revoke" button.

Actual Hours Schedule / Employee

At any time, managers can login and view a real-time view of how many hours have been worked per employee over any date range.

  1. Define the date range to view hours.
  2. Click "Update Report" to refresh the report with the updated date range.
  3. The generated report includes all "Approved" shifts per employee.

System Shift Statistics

At any time, managers can login and view a real-time view of how many accepted, declined and open shifts per employee over any date range.

  1. Define the date range to view hours.
  2. Click "Update Report" to refresh the report with the updated date range.
  3. The generated report displays the number of Accepted, Declined shifts. It also shows the number of "Open" shifts employees have not yet responded on.

Scheduling Templates

The advanced scheduling engine relies on Scheduling Templates to fill your shift schedules. By defining the shifts you need filled in a template, you can effectively utilize the advanced scheduling algorithms of eSchedule.

  1. Select the day of week to define that days shifts.
  2. According to this template, we need 4 Optometrists on Sundays, 3 skilled and 1 expert.
  3. As with the scheduling page, individual shifts can be dragged/dropped to adjust time(s).
  4. Adding a new shift to the template is quick and easy (bulk uploads are available).
  5. Enter the Start/End times.
  6. Select both the "Position" and "Skill-level"
  7. If this shift occurs on more than one day a week check the appropriate days.
